A coordinated communication pack for a community event
Grace Community Church came back for Year 2 of its annual Serve Day. Last year it was a flyer and a sign-up sheet passed around after the service. This year they asked for a flyer, an email, an online RSVP, and a reminder sent automatically two days before, so someone who signs up in July still remembers in September.
Practice project: Grace Community is fictional. This brief continues an earlier sample event, and the materials below, including the reminder script, are working deliverables.
What I made
- A refreshed flyer in last year's Serve Day style, now with a QR code that opens the RSVP.
- An announcement email and a reminder email, on-brand with the flyer.
- A branded RSVP page that feeds a Google Sheet the church owns. Each signup becomes a row, with a headcount the team can plan around.
- The automation: a small Apps Script that emails each registrant once, two days before the event, with checks so it's safe to leave running.
- Everything runs on free tools in the church's own accounts, so there's nothing to renew.
"Same price as last year?"
Returning clients usually ask this, and it's a fair question. The proposal's price table answers it: the flyer is cheaper than last year because the design already exists, and the higher total pays for the new parts, the RSVP system and the automation. Each item is listed, so the client can see exactly what changed.
Then the second move: because the machinery now exists, every future Grace event gets the same treatment at a standing rate of ₱4,000 instead of ₱5,500. The discount works because the setup is already done, so later events take less time.
Flyer refresh, two emails, branded RSVP feeding a live sheet, and the reminder automation. Standing arrangement for later events: ₱4,000 per event.
